Setting Up Sales Collection Contacts

This article explains how to designate which contacts are treated as sales collection contacts for reminders and follow-ups.

When sending sales collection email reminders, the system needs to know who should be contacted.

Rather than sending notifications to everyone, Kinexio allows you to:

  • Define which contacts are responsible for sales submission

  • Target only those contacts when sending push notifications or emails

This requires a small amount of setup, but once configured, reminders can be sent quickly and accurately.

Understanding Contact Types

There are two types of people involved in sales collection:

Each type uses a slightly different method to identify them as a sales collection contact.

Step 1: Assign a Sales Contact Type to CRM Contacts

For CRM contacts, the system uses a contact type to identify responsibility for sales collection.

To set this up:

  1. Open a CRM contact record.

  2. Locate the Contact Type field.

  3. Assign the agreed sales collection contact type
    (for example, a type used to indicate responsibility for sales or turnover).

Only CRM contacts with this contact type will be included when sending sales reminder emails.

Step 2: Assign a Sales Contact Tag to App Users

App users do not use contact types. Instead, they are identified using tags.

To set this up:

  1. Open the app user’s profile.

  2. Add the agreed sales collection tag.

  3. Save the profile.

Tags can be managed centrally using the Tags Manager, allowing you to:

  • Create a consistent tag for sales collection

  • Apply it only to relevant users

Step 3: Link Contact Types and Tags in Sales Settings

Once contact types and tags are assigned, the system needs to know which ones to use.

In the Sales Collection Settings:

  • Select the CRM contact type to be used for sales reminders

  • Select the app user tag to be used for sales reminders

This tells the system:

  • Which CRM contacts to include

  • Which app users to include

  • Who should be contacted when reminders are sent

How This Works in Practice

When you send reminders an from a campaign entry page, you can selest stores, press the "Send Email Reminder" button, and that will allow you to copy email addresses to your clipboard that you can then paste into your preferred email platform to quickly target remider messages to the relevant people.
