Sept 2026: Key & Asset Management - Automatic anonymisation of dormant contractor contacts

Holding onto contractor contact details long after they're needed is a data protection risk. Key Management can now automatically anonymise contacts who've gone quiet, while keeping every checkout record intact.

What it is and why it matters for Key & Asset Management

Previously, contractor contact details were retained indefinitely regardless of activity. Administrators can now enable a setting that automatically masks a contact's name, email and phone once they've had no key-checkout activity for a chosen number of days (minimum 90) — with all historical checkout records left fully intact.

How it works at a high level

A daily process identifies inactive contacts not currently holding a key and masks their personal details in both the live record and historical audit data. Contacts with recent activity are never touched. Originals sit in a recovery buffer for manual support recovery, but the change should be treated as effectively permanent day-to-day.

Best practice tips

  • Set a threshold that matches your contractor turnover, not just the 90-day minimum.

  • Check how many contacts would be affected before enabling for the first time.
