Oct 2026: Tenant Engagement CMS - Access level management is now cleaner and safer

The Access Levels screen has been simplified so administrators can focus on the access levels they are expected to manage. System-managed access levels are now kept out of the way by default, reducing clutter and helping protect automatically managed audience settings from accidental changes.

What it is and why it matters for Tenant Engagement

Some access levels are created and maintained automatically by the Kinexio platform to support specific features and workflows.

Previously, these system-managed access levels appeared alongside normal administrator-managed access levels in Manage > Access levels.

Because there was no obvious distinction between them, administrators could potentially edit, rename or remove an access level without realising it was being used automatically by the platform.

System-managed access levels are now hidden from the standard list by default.

This makes the page easier to work with and reduces the risk of accidentally making changes that could affect content audiences or other platform functionality.

When to use this

For normal day-to-day access level management, you should simply work with the access levels shown in the default view.

You may need to display the platform-managed access levels when:

  • troubleshooting an audience configuration with Support;
  • reviewing how a particular feature manages its audiences;
  • carrying out advanced configuration with guidance from Kinexio; or
  • investigating an existing access level that does not appear in the standard list.

For most administrators, there should be no need to routinely show these additional access levels.

How it works (high-level)

When you open Manage > Access levels, platform-managed access levels are excluded from the list by default.

A filter allows authorised users to include them when needed.

If you choose to display those access levels, the CMS provides a warning so it is clear that these are managed by the platform and should be treated with additional care.

The underlying access levels continue to work as they did previously; the change is primarily about presenting the list more safely and clearly to administrators.

Best practice tips

  • Keep platform-managed access levels hidden during normal administration.
  • Only expose them when you have a specific reason to investigate or work with them.
  • Avoid renaming, deleting or reconfiguring a platform-managed access level unless you know exactly what is using it.
  • If an unfamiliar access level appears after enabling the filter, check with your Kinexio support or account team before changing it.
  • Use clear, meaningful names for the access levels your own team creates so they remain easy to distinguish and maintain.
