Feb 2026: New Feature - Restricted Assets

Restricted Assets is a new enhancement to Asset Management that provides greater control over high-risk items such as master keys and specialist equipment.

Assets marked as Restricted can only be issued to authorised individuals or companies, preventing accidental or unauthorised sign-out and strengthening security by design.

The feature provides:

  • Clear visibility of who holds each asset and when it is due back

  • Automatic highlighting of overdue items

  • SMS and email reminders to support timely returns

  • A complete, time-stamped audit trail available 24/7/365

Secure control for high-risk assets

The Restricted Asset feature within Asset Management is designed for organisations that need additional control, accountability, and assurance when issuing high-risk or sensitive assets such as master keys and specialist equipment.

By combining role-based authorisation, real-time visibility, and automated audit trails, Restricted Assets ensure that only approved individuals can access critical items — without slowing down day-to-day operations.

 

What makes an asset “restricted”?

Restricted Assets are items that require additional authorisation before they can be issued. 

Once marked as restricted, these assets can only be issued to approved people or companies, eliminating the risk of accidental or unauthorised sign-out.

 

Built-in authorisation controls

Restricted Assets are protected by two layers of control:

  1. Asset-level restriction: Assets can be flagged as Restricted, clearly identifying them as high-security items that require additional approval.

  2. Person or company authorisation: Only individuals or companies that have been explicitly authorised can receive Restricted Assets.

This ensures sensitive assets are never issued to the wrong person,  even by mistake.

 

Real-time visibility & oversight

Building and security teams have full visibility of restricted assets at all times:

  • See who currently holds each asset

  • View due-back dates and times
  • Instantly identify overdue items, clearly highlighted for action
  • Search and filter assets to locate specific items quickly
